Beach Parents’ Organization ASE (After School Enrichment) Program Policies

Fall 2018

Details:

Classes will begin 9/4 and end 11/16. No classes the week of 10/29 - 11/2 (Parent Teacher Conference week) or on 11/12 (Veteran’s Day).  Exceptions are noted in the class descriptions.

ALL REFUND, DROP AND TRANSFER REQUESTS MUST BE MADE BY 8/30/18.  This is the Thursday before classes start.  Requests must be made to beachschoolASE@gmail.com.  For refund or drop requests prior to this date, the class fee will be refunded, less 6% (this represents the Sportability registration cost and is waived if your child is transferred to another open class).  $25 late fee for registrations on or after 9/1/18.

Attendance:

PLEASE REMEMBER TO REPORT YOUR STUDENT’S ABSENCES by calling or texting Nadia Pacult at (510) 289-9959 and e mailing the instructor for your child’s class as well.

Communication:

The telephone numbers and email addresses you provide during Sportability registration are used for Beach ASE communication (for example: attendance calls, announcements, reminders). Class rosters including email addresses are shared with class instructors for the purpose of class communication.

For class specific questions or concerns, please contact the instructor/vendor directly. Contact information is available in the Sportability class descriptions as well as your welcome email provided prior to the start of classes. Questions, concerns, requests, or comments entered into Sportability free text boxes at registration are not monitored or forwarded to instructors.

Class Schedule:

On Mondays, Tuesdays, Thursdays, and Fridays, instructors check kids into class from 3 to 3:10 to accommodate staggered dismissal times. Students should report to their class meeting rooms just before class time. All students dismissed from school prior to 2:55 p.m. (i.e., early readers and morning kindergartners) must be supervised while on the Beach campus until their ASE classes begin.

Unless otherwise noted (for example, Harry Potter), Wednesday classes will begin at 1:55 pm to reflect the early school dismissal time.

With the exception of kindergartners, students are expected to walk to their classes on their own.  Please make sure your child knows where to meet.

As with the end of regular school classes, ASE students will be released to the blacktop at the end of ASE class. Please remind your student to check in at Schoolmates if they are not being picked up after ASE classes.  All Kindergarten and 1st grade students will be checked into Schoolmates if not picked up by a parent/guardian after class.

ASE Support:

Beach After School Enrichment offers classes for all of our grade school students. If you feel that your child requires a non-academic aide to participate in a class, please contact Beach ASE at beachschoolASE@gmail.com.

Financial assistance is available. Applications are forwarded to the ASE Coordinator and treated confidentially. Contact Beach ASE at beachschoolASE@gmail.com to initiate an application.

Refund policy:

All refund, drop and transfer requests must be made by email to beachschoolASE@gmail.com on or before the Thursday preceding the start of classes. For requests prior to this date, the class fee will be refunded, less 6% (this represents the Sportability registration cost and is waived if your child is transferred to another open class).

Refunds will be offered in full for classes cancelled by ASE (for example, classes cancelled due to low enrollment). Make up classes are generally offered for unforeseen instructor absences. Refunds must be claimed prior to the close of the session.

Medical:

NOTIFY THE INSTRUCTOR DIRECTLY IF YOUR CHILD HAS A SERIOUS FOOD ALLERGY OR OTHER MEDICAL CONCERN. Medical information (any free text boxes) entered into Sportability during registration is not monitored or forwarded to instructors.

Behavior:

In general, Beach ASE has the same student behavior expectations that the school has during the regular academic day. Disruptive behavior is expected to be resolved between parents, student, and instructor. Failing corrective action, students may be removed from class at the instructor's discretion (this is rare--the goal is to facilitate the student’s continued participation). Contact the Beach ASE coordinators if further mediation is required.

Beach ASE tax treatment:

Sportability or Beach ASE can provide receipts upon request but we cannot provide additional support or documentation towards either the deduction of Beach ASE classes against employer flexible savings accounts or the claiming of ASE payments as charitable donations.

Thanks for your support!
