Notice of Annual General Meeting

The best motorcycle racers in the world, the best motorcycle racers in New Zealand, young aspiring motorcycle racers and enthusiastic motorcycle sport followers everywhere need strong clubs through which they can grow to become champions. They also need clubs within which they can simply enjoy doing the sport they love with groups of similarly minded and supportive people.

All clubs need to have a core group of people who operate together to make the activities of the club actually happen. The larger this core group the better. The more skill sets it will have, the less work any individual will need to do.  Without this group there can be no club activities. Without club activities, there will be no reason to have the club. Without the club there will be no more racing.

And that means this year.

Victoria Motorcycle Club Inc is now calling for new officers to join the committee to ensure that the activities of the club can proceed and that motorcycle racers of all abilities from junior novices to national champions can enjoy their sport this year and into the future. Primarily, in the case of Victoria Motorcycle Club, that means the annual winter series racing.  

There are positions on the committee available now for new and enthusiastic people to fill them. The club has more than enough members and other racers who race in the club series to fill these positions.  Rider numbers are increasing once again.  The hard work for this years series will have been completed,  the new committee will have a plan they can follow and many new ideas handed over so they can keep the club heading in a positive direction.

Nominations are now open and will close at 5pm on 6 March 2016 for the following positions:

President - 2 year term

Treasurer - 2 year term

Entry Secretary - 2 year term

Social Coordinator - 2 year term

Race Coordinator (currently vacant with one year of term remaining)

Historian (currently vacant with one year of term remaining)

Ordinary Committee Members (minimum of 2 and no more than 6 required, 1 year term)

Candidates must be proposed and seconded in writing to Victoria Motorcycle Club, PO Box 1972, Wellington or emailed to: secretary@vicclub.co.nz

This is therefore a call to all Life Members, Club Members, Racers and interested parties to come to the Victoria Motorcycle Club Inc AGM at 2:00 pm Sunday 20 March, at Tatum Park, 820 - 850 State Highway One, Manakau, Horowhenua.

Everyone is welcome!

Committee Roles:

The President is responsible for:

Ensuring that the Rules are followed;

Convening Meetings and establishing whether or not a quorum (half of the Officers ) is present;

Chairing Meetings, deciding who may speak and when;

Overseeing the operation of the Club;

Providing a report on the operations of the Club at each Annual General Meeting.

The Secretary is responsible for:

Recording the minutes of Meetings;

Holding the Club's records, documents, and books except those required for the Treasurer’s function;

Receiving and replying to correspondence as required by the Committee;

Forwarding the annual financial statements for the Club to the Registrar of Incorporated Societies upon their approval by the Members at an Annual General Meeting.

Advising the Registrar of Incorporated Societies of any rule changes;

The Treasurer is responsible for:

Keeping proper accounting records of the Club’s financial transactions to allow the Club’s financial position to be readily ascertained;

Preparing annual financial statements for presentation at each Annual General Meeting. These statements should be prepared in accordance with the Societies’ accounting policies (see 8.1.d).

Providing a financial report at each Annual General Meeting;

Providing financial information to the Committee as the Committee determines.

The Race Coordinator is responsible for:

Organising and budgeting all race related activities of the club;

The Social Coordinator is responsible for:

Organising and budgeting all social related activities of the club;

The Membership Secretary is responsible for:

Keeping the Register of Members;

making information contained available to the committee as needed;

check payment has been made for the membership.

The Entries Secretary is responsible for:

Keeping the Register of event entries;

making information contained available to the committee as needed;

check payment has been made for the entry.

The Historian is responsible for:

Keeping the Register of the clubs historical records and assets;

Keeping said items in good care and condition;

Converting said assets to a digital form where possible.
