A Teacher’s Guide:

Using the Record in Meet Function

Introduction

This guide helps illustrate the process of going remote using Meet and how best to integrate the record functionality while leveraging Google Classroom.  Currently, the record feature in Meet is available to all EDU institutions FREE until July 1, 2020.  Record in Meet is a feature of G Suite Enterprise for Education (GSEfE).

This tutorial assumes that Hangouts Meet is enabled for students on your G Suite domain.  Check with your G Suite administrator (or test with students) to understand if this is the case.  Here’s a guide for G Suite administrators on enabling Meet.

This guide, and our guide for administrators are rapidly evolving as best practices emerge.  We recommend bookmarking and returning to these documents regularly, as the best available advice may change.

Two cents of advice

According to schools that have had to go fully remote, leading live video instruction -- especially for younger students -- is difficult to pull off at first, and isn’t always the best option.  A live Meet might be better suited for a drop-in “office hours” type arrangement where small groups of younger students (and their parents) can join in for help on assigned work.  That said, for older students who have strong tech skills, we’ve heard multiple anecdotes of folks finding success in Chinese International Schools using Meet as the regular “scheduled class time” appointment (following the bell schedule) with teacher-led instruction.  

Some students may not have internet access.  In this case, it’s worth noting that students and families can also join Meets by PHONE, as long as you provide them the join information.  Recording the Meet session for later viewing helps -- but doesn’t fully resolve -- the equity and access issues.  With recorded Meets, students can rewatch, download, or be given copies of the lessons later as needed.  Here we are assuming that in a time of extended remote learning, an imperfect solution is better than no video or voice contact at all.

Set Up a Remote Session in Google Classroom and the Calendar

Create a Topic: Remote Classes

Create an Assignment: Title the Assignment with the date/time of the Meeting.

Ensure the Topic is changed to Remote Classes

Add a Description (optional)

Add Due Day of Remote Class (optional) 

Create calendar invite: include a Meet link to the event,  invite your Google Classroom class.

NOTE: Creating recurring calendar invites with the same meet link becomes easier to manage.  

Next, Grab the URL of the Hangouts Meet

Add the Meet URL to the Google Classroom assignment. Creating one meet for all classes that meet at the same time is advantageous for making it easy to post in one place in Google Classroom.

Set up for using the Record in Meet function

Record in Meet: Starting a Recorded Meet

Click 3 dots in the bottom right of the meet screen in the gray toolbar

Click Record meeting to start the recording

A prompt will appear to ask participants for consent.

Remember: You can use the 3 dots in the bottom right hand corner to turn on Closed Captions for easy accessibility.

A red record icon will appear in the top left of the Meet Window

Note: You must have a G Suite Enterprise for Education subscription and a license assigned to your user account after July 1, 2020.

Accessing Recorded Meets

Attached to the calendar invite:

Saved in the Drive Folder called “Meet Recordings” for the teacher

Teachers should also attach the meet recording within Classroom AFTER changing viewing from the default “Anyone with link can view” to “Anyone at Example School with the Link can View”
