Important Information for Parents

Following the major database upgrade in August, 2013, your child no longer has access to her account. One parent (Guardian 1) has become the Family Manager for all family members. This one adult will manage all the eBiz activity for the family under one account. If you are not able to access your eBiz account, we may not have your correct email on file.

It is important that parents take this responsibility for managing family data and memberships. Parents are expected to be familiar with the registration process in order to participate in Girl Scout events in and outside of the troop activities. Parent registrations create an electronic signature for participation that is required for all Girl Scout activity.

Troop leaders have access to troop rosters and can register troops for events as well, but we would encourage parents to maintain their own family accounts. Leaders have many responsibilities and duties to perform in order to manage the troop and protect the safety of its members. They could really use your cooperation.

Please contact the Helpdesk for assistance and questions. We will be monitoring the helpdesk inquiries constantly during the Early Bird registration period.

Parent Instructions

The following instructions will guide you through the following processes: how to log into eBiz; how to verify family data; how to purchase a new membership; how to renew memberships; how to check out and pay for your products; and finally, how to request Early Bird Incentives.

If you are paying with Opportunity Funds, Cookie Dough, or Cookie Credit a paper registration form must be completed and returned to Council along with payment information. This type of membership cannot be completed online at this time. We still require updated data for each family member whether members or not. If any difficulties or questions arise, please contact the Helpdesk

 

To get to the eBiz registration screen from the girlscoutsSoAz.org website, use the Login link at the end of the black menu bar.

It will bring you to the Welcome to the Girl Scout registration site we call eBiz.

 

Choose the Current Member Login if you have successfully accessed your account in the last six months. If you have forgotten your User ID and/or Password, please contact the Helpdesk.

                If you have not logged into the eBiz site since August of 2013, please create a New Online Account. The system will find your record and attempt to send you a security email link in order create a new User ID and Password. Upon re-entry, the system will require you to provide demographic information for security and identity purposes to make sure you access the correct family information. If you get any messages or encounter any difficulties, please contact the Helpdesk before you create a duplicate account.

 

 

Special Notes

If you wish to participate in Girl Scouts for the remainder of the 2014 Membership year, including summer camp or any program/events prior to Oct 1, 2014, you must be a member for the 2014 Membership year. You may then renew for 2015 Membership to continue in your scout programs. If you are unsure, please contact the Helpdesk.

Step 1: Login to eBiz

Once you are logged in and if you do not see all of your family members please contact the Helpdesk.

Step 2: Verify Data Accuracy

We still require you to log into your account and verify all data for each of your family members. If any difficulties or questions arise, please contact the Helpdesk.

Also, if you have family members that are not registered members, we still require accurate data. Please take a few minutes to update each nonregistered profile.

 

Their name, as listed, is a link to their demographic data. Click on the name of family member you need to verify. Notice the name of the individual you are currently editing.

 

 

 

 

Note: When purchasing memberships for family members, Data Review is included in the process and you can proceed with Step 3 new memberships or Step 4 for renewals.

 

Step 3: New Membership for Family Members

Select the family member you wish to register and check the box to the left of their name. From the “I want to” box, select “Purchase Girl Scout Membership(s)”. Click on GO. For member renewals please skip to Step 4.

At the next screen, drop down the selection box under the heading Membership and choose the correct year. PLEASE make sure you are selecting the proper membership year. If you were not a member for 2014, there will be two membership products available: one for 2014 and one for 2015. If you are unsure, please contact the Helpdesk.

 

 

Note under the Membership Information column there may be a note that says “Data Required.” This is a message that the member’s profile has not been updated recently. Click on the Start button to update or review information.

 

The Progress Bar at the top of the page will help you keep track of your progress. Also note the “* Required” notations identifying fields that cannot be left blank.

 

Please answer each question with accurate information. Continue using the “Back” and “Next” buttons until all fields have been addressed. At the end of this task, there is a summary page that allows you to change information previously entered without having to go backwards, page by page. This is the summary page. If the data is correct, click on Continue.

 

 

This brings you to your Confirm Selection. Click Next.

 

 

This membership product has now been added to your shopping cart. Click on Continue Shopping to add other memberships or renewals to your basket. We suggest you complete each product separately adding them to your cart until all members are collected.

                Once the product in your shopping cart, you may log out if needed. The completed product will remain in your shopping until your next session.

Step 4: Renew Memberships

If this family member was registered for the 2014 membership year, there will be a quick link icon along the right side of the family table. The hyperlink looks like the Girl Scout logo. Click this link for a simplified version of Step 3 above. You will have an opportunity to update data as you go along. Complete the process and continue to add this product to your shopping cart.

 

 

Step 5: Check out

Once all of your membership products are added to your shopping cart, you want to process your order with a credit or debit card. Click on the Checkout button.

Remember – if you are paying with Opportunity Funds, Cookie Dough, or Cookie Credit a paper registration form must be completed and returned to Council along with payment information. We still require you to log into your account and verify all data for each of your family members. If any difficulties or questions arise, please contact the Helpdesk.

 

 

 

 

Enter credit card information, check the accept button and note: Membership fees are non-refundable and nontransferable. Make sure you have the proper products for the proper family member before paying for your order. Click on Process My Order to complete the process.

 

To verify that your order has been received, you will see an Order Summary page on your screen and an auto-email notification will be sent to the email address in the account. You should print at least two copies of this receipt. One copy for your records and one copy should be submitted to your troop leader.

 

Most home computer stations will not print this receipt from the green Print button included at the bottom of the page. If you type Ctrl+P from your keyboard, you can select your local printer.

6: Request Early Bird Incentive

 

Girls will earn a patch if they Early Bird register by May 30, 2014. Troop Leaders will request the patches using the Incentive Request Form. Please inform your leader once you have renewed your child’s membership. If your child is an Individual Girl Scout, assigned to Troop 01, please use this request form to request her Early Bird patch and free T-shirt. This request form must be submitted before June 6, 2014 in order to receive the incentive. Patches will be available for Troop Leader pick up in the Council Shop after June 11, 2014.

There is also a troop incentive this year for early registration of at least 50% of their members before the Early Bird deadline. Please notify your troop leader as soon as you have paid the membership for your daughter.

 

 

Important Information Regarding Financial Assistance

Early Bird registrations that request financial assistance must be done with paper registration forms. These forms are due to Council by May 30, 2014 in order to receive incentives. The registration form and the funding request must be submitted together with any partial payment you can provide. Forms should be submitted to Girl Scouts of Southern Arizona, 4300 E Broadway Blvd, Tucson AZ 85711. We have provided links to all the forms below.

 

Our Online Registration process does not support the following situations and require these paper forms:

             Girl or adult registrations requiring full or partial financial assistance

             Lifetime registrations for graduating seniors at the reduced rate of $195

             Registrations being paid for with Cookie Dough or Cookie Credit

 

Please use these links to print paper forms for the above registration exceptions. Paper form registrations, completed properly and returned to Council before May 30, will be eligible for the Early Bird registration incentives.
