HEY THERE! Here are some resources that our team uses for planning, task management, and workflow/request process. They are merely suggestions and what has worked for us! At the end of the day, each team works differently and each church is in a different season of growth and development. Feel free to copy and tweak any of the processes we’re using to better suit your church/team needs. We hope this helps! 😊🙌🏼

PLANNING
- We plan for the year ahead at the beginning of the year (e.g. we planned 2024 in February 2023) and all events on our calendar revolve around Connect Weeks. We then revisit what was initially planned at the end of Q3 to finalize dates, especially for conferences and polish plans. We’re a very flexible team and so nothing is set in stone until a few months before the event when planning officially kicks off, but it helps to know things ahead of time. We’re able to set more concrete goals and have a driving motivation to dream!
- Weekly, as a team, we discuss what is happening for the week, the month, and the next 3 months. This helps us stay updated and look ahead for things that need to get done!
- When planning for a major event (e.g. Conference), always start with the end. Plot out the actual event date and work backwards — plotting ingress, promos, booking of suppliers, and key events/meetings until you reach the beginning of your campaign/launch date.
- Our promo periods:
- Monthly volunteer/leader events — 2 weeks
- Grow courses/Special Events — 3-4 weeks
- Presence Weeks — 4-5 weeks
- Legacy Offering — 6 weeks
- Community Conferences — 2 months
- Favor Conference — 6 months
- Instagantt — useful Gantt Chart tool, we use this to view our entire calendar at a macro scale
- Excel Gantt Chart — useful tool to share with volunteers for planning that requires multiple input
- Basecamp — our project management tool! We would be quite lost without it. We found this through Vous Church! Check pricing here.
- Reporting Template — no magic here, just Google Slides! This keeps the team in the loop for anything and everything. We only discuss actionable items during meetings, everything else is to keep the Experience Exec well informed about everything on our team’s plate
