Web Time Entry - EOU Student Employee Training Manual

Web Time Entry (WTE) is the web-based application that collects time and attendance information for EOU student employees in Webster. EOU student employees are responsible for entering and submitting their hours worked every pay period. Supervisors are responsible for approving the hours worked. Once the supervisor has approved the hours, they are automatically loaded into the payroll process for payment.

In order to comply with the Fair Labor and Standards Act, EOU student employees record their daily in and out times instead of the total hours worked in Webster.

NOTE: Actual Pay Period for EOU Student Workers is the 15th - the 14th of each month. All student workers must get their timesheets submitted to their supervisor(s), no later than the 15th of each month to ensure they get paid on time at the end of the month.

#1)  Visit my.eou.edu and log into Webster.


#2)  Click on the [Employee Services] tab and click on the “Time Sheet” link.

#3)  Select the pay period you’ll be entering your time into and click the [Time Sheet] button at the bottom. if you’re reporting on multiple jobs, select the one you’re entering your time on.

#4)  Begin entering your time on the days you work. Please note that both Workstudy students and regular student employees will enter their time in the same location. Please note that you accrue 1 hour of sick leave for every 30 hours you work starting January 1, 2016. If you don’t have enough sick time accrued, then you must take leave without pay.

#5)  Once you select the date to enter your time in, be sure to enter it in 15 minute intervals (For example: 10:00, 10:15, 10:30, 10:45), making sure you select AM or PM.  Also remember that any shifts under 5 hours gets a paid 15 minute break that you do not have to record. If you work over 5 hours, you must take a 1 hour lunch period. To properly record this, simply split the shift from the time you leave for lunch and record the time you return as listed below. Be sure to click [Save] at the bottom to save your time so it automatically calculates your hours for you. Repeat this step for each day you work during the pay period. Click the [Delete] button if you need to clear out the times you entered on any particular day.

#6)  If you work a recurring shift, you can copy it to other days by selecting the [Copy] button on the day you wish to copy the time over. Then select the specific days you wish to copy the time punches over to and then select [Copy] once again to complete the action.

#7)   Once you have all of your shifts recorded, reviewed and saved, click the [Submit for Approval] button. This will send your timesheet for this pay period to your supervisor to approve to send to the payroll department. If your supervisor has issues or corrections for you, they will send it back to you and notify you that your timesheet requires your attention. Remember that your timesheet must be submitted to the payroll department by the 15th of each month to ensure you receive a paycheck by the end of the month. You supervisor could return your timesheet to you for corrections - watch your email for alerts if it is returned to you.

#8)   To check your sick Leave Balances in Webster, click the [Employee Services] and select “Leave Balances”.

#9)   As you start to accrue sick leave (1 hour of sick leave for every 30 hours worked starting January 1, 2016), you’ll start to see your leave balances that’s available to use in your timesheet.

#10)   If you try to attempt to use sick leave when you have no sick leave accrued, you’ll receive an error message. In this event, simply delete the sick leave time from your timesheet before entering it into your timesheet to prevent delays in processing your paycheck.

#11)   Once you submit your timesheet for approval, you’ll receive email alerts when the timesheet has been approved or when it’s returned to you for corrections. If you receive the alert that the timesheet is returned for corrections, review, edit and re-submit it ASAP.

#12)  You also have the option to print your timesheet within Web Time Entry. Simply select the [Print Timesheet] button to print out a single page PDF for your records.
