Lease Segment

Page that  displays all critical reports summary of  Lease terms. .

Lease

Functionality to list all the leases available in the system

Term

Functionality to list all the terms available in the system. Note each lease can have one or many terms. In the system instead of creating new lease for each renewal new term is created when lease remains the same.

Term Expiring and Non Active

Functionality to list all the terms available in the system. That will expire in next  3 periods and has “is renewed” flag as false  or that have inactive status. Note this list is created in order to monitor when renewal letters should be created. To create renewal letter new inactive term will be created, for this list  have both expiring and non active to be able to determine if letter of renewal is already issued. When  administrator will realize if the lease term is renewed she will have to update is renewed status of current term and set the new term to active.

Term Active -Negative Balance

Functionality to list all the terms that have negative balance and are active.

Term Current and Terminated

Functionality to list all the terms that are current and terminated. Note this list helps to determine who will have to leave the rental units and will help to make sure the tenants have actually left.

Payments by Date Range

Functionality to be able to generate report of payments received between 2 dates.

Used as Account receivable report.

Unit Segment

Dashboard

Page that  displays all critical reports summary of Units and Extras.

Unit

Functionality to list all the Units in the system with warnings in case Unit is not rented. With possibility to access lease of each Unit. New lease can be created from here as well it is possible to view history of Unit rentals from this list.

Unit - Available

Functionality to list all available Units to be rented. With possibility to access lease of each Unit. New lease can be created from here as well it is possible to view history of Unit rentals from this list.

 

Extra

Functionality to list all the Extras (parkings, storage etc.) in the system with warnings in case Extra is not rented. With possibility to access lease of each Unit.

Exta - Available

Functionality to list all the Extras (parkings, storage etc.)  in the system with warnings in case Extra is not rented. With possibility to access lease of each Unit.

Client Segment

Client

Functionality to create new clients.

Note: Client becomes tenant only when it is added to the Lease from the Lease Segment

TIP: Possibility to Integrate clients with CRM functionalities as custom development request (Sales Force etc.)

Tenants

Functionality to list all the tenants and by clicking on ID accessing lease they are assigned to.

Note: If client is assigned to more the one lease it will be listed for each lease separately.

Clients

Functionality to list all the tenants in the system and possibility to edit them. Will list Clients even if they are not tenants. Each client will be listed once.

Lease Creation and Maintenance

Lease can be created from any Rent module>Unit Segment>Unit List and can be accessed and edited mainly from Rent module>LeaseSegment>Lease List  or Rent module>LeaseSegment>Lease List .

On the main screen it allows to edit lease .

View all the lease description.

  1. Tab Active term allows to:
    View payment status (automatic calculation for each period)
    Create Invoice for Current Lease term.(button in right top corner)
  2. Tab Payments allows to: view/edit all payments and receive new payment (button in right top corner). Note it is critical that when payments are received they should be marked for the correct term -system doesn’t automatically update.
  3. Tab All Terms allows to: view/edit all terms and create new term it also allows to create term based invoice (Term based invoice allows to show balance on term basis)
  4. Tab Discount allows to add negative and positive discounts for each period. Note it helps to regulate not only discounts but also fees for parking, storage, damage, or partial period occupancy)
  5. Tab Tenant allows to assign new clients as tenants for lease.(view and delete)
  6. Tab Extra allows to assign new extras to each lease.
