HKN Officer Positions
Try to keep a balance between desired and realistic levels of commitment. While we understand and appreciate your desire to be an involved student, being a dedicated officer in multiple student organizations is not often a realistic goal. It is always better to do a few things very well and thoroughly rather than several things poorly. Outside of being an officer, you have school, family, extracurricular, and personal obligations that should not be undermined. Therefore, we strongly recommend to limit yourself to being an officer in a maximum of two student organizations.
President
- Preside over all regular meetings of the chapter
- Preside over executive board meetings
- Call special meetings at any time or within two weeks upon request of five active members (or chapter advisors)
- Oversee overall operations of the chapter
- Oversee overall committees
- Develop a program of meetings and activities for the year
- With the assistance of chapter officers and members, compile and submit the annual chapter report to headquarters
- Delegate work obligations to officers
- Any other reasonable responsibilities usually accorded to this position
- Preferably has prior knowledge of how organizations work at CSULB
Vice President Internal
- Assume the duties of the President in the event the President is unable to perform normal duties
- Maintain an accurate record of all undergraduate and graduate members of the Chapter
- Chair of the Pledge Committee
- Responsible for organizing and executing the induction ceremony
- Organize the General Meetings
- Oversee the General Board
- Maintain communication between officers
- Manage events such that all related tasks are assigned to someone
- Responsible for submitting nominations for association-wide awards
- Perform any other tasks as requested by the President
Vice President External
- Attend public speaking engagements
- Arrange guest speakers to come and speak at chapter meetings
- Act as the Associated Engineering Student Body (AESB) Representative (Meetings on Friday @ 1PM MUST BE ABLE TO ATTEND)
- Chair of the Events Committee
- Handle correspondence with corporate sponsors, other IEEE-Eta Kappa chapters, and local community leaders
- Encourage and coordinate Alumni involvement
- Communicate with companies on internship/full-time opportunities
- Work closely with Treasurer on sponsorship package and sending them to companies
- Perform any other tasks as requested by the President
Treasurer
- Administer all Chapter bank accounts, funds, and financial records
- Administer reimbursements on behalf of the Chapter
- Propose a budget at the start of the year
- Collect all dues and other income and deposit funds
- Pay all bills; make other payments as authorized (withdrawals and checks written on any IEEE-Eta Kappa Nu account shall require two signatures, nominally the Treasurer and Faculty Advisor, or signatures from two of the following: President, Treasurer and Faculty Advisor)
- Prepare and present an updated financial status report at each regular chapter meeting
- In charge of completing IRS reporting requirements for IEEE-Eta Kappa Nu chapter (coordinate with HKN Headquarters)
- Prepare corporate sponsorship proposals
- Contact companies regarding corporate sponsorship
Corresponding Secretary
- Handle all correspondence of the chapter, except that pertaining to the Vice President External or the Treasurer office
- File new member requisition forms with headquarters
- File notices of officer elections with headquarters
- Certify and transmit mail convention results to headquarters
- Secure membership certificates and pins/keys (optional) for the elected members in time for the induction
- Sign membership certificates
- Handle all special correspondence with headquarters, other IEEE-Eta Kappa Nu chapters, and other campus societies and organizations
- Notify headquarters in the event of change of Faculty Advisor
Recording Secretary
- Attend every officer meeting
- Keep a record of all meetings
- Record all information presented by guest speakers
- Organize and archive all important IEEE-Eta Kappa Nu documents
- Send out weekly or monthly announcements to members
- Act as chapter Historian
Webmaster
- The creation and maintenance of the chapter web page with accurate and up to date chapter activity plan and officer information
- Set up new officer email accounts
- Periodic backing up of both the IEEE-Eta Kappa Nu website and its database
- Maintain other electronic communications and email lists
Marketing
- Act as the publicity agent for the chapter (upload photos, post upcoming events to social media network)
- Design flyers for events
