1.  HARDWARE OVERVIEW:

The monitor is a Microsoft(R) Windows(R) Touch screen computer. This computer is configured to operate similar to a kiosk and does not require any additional setup for you to use it.

A  Monitor:

i.  To unpack the monitor:

  1. Lay the monitor bag face down on the table.
  2. On the back of the monitor bag, remove the power adapter from the pouch.
  3. On the back of the monitor bag, unbuckle the 2 clips and lift the monitor bag off to reveal the monitor.
  4. Slide the monitor out and place it upright on the table, expanding the kickstand to the desired height.
  5. Attach the yellow connector to the yellow port on the back of the monitor, and the power end to the extension cord.

ii.  To pack up the monitor:

  1. Power down the monitor by double tapping the red power off button in the upper right corner of the display, and let the station power all the way down (white power light will go off on lower left front of station)
  2. Unplug the power from the back of the monitor.
  3. Lay the monitor bag on the table already unbuckled.
  4. Place the monitor on the monitor bag face down and slide it under the upper section
  5. Fold the buckle flaps over the bottom of the station and attach the buckles. Cinch the buckles tight before picking up up the monitor.
  1. The side buckles should remain attached and tightened at all times.  
  2. The front monitor straps are auxiliary and have no impact on securing the monitor in place. They are intended to hold extra items such as a keyboard if necessary.

iii.  To power on the monitor:

The power button is located on the left side of the monitor, towards the bottom. Tap it briefly and you will see a white light on the front panel (lower left corner). Allow the station to load to the dashboard. This can take a minute or two while several other activities are happening.

During the startup process, several screens will appear, data will be saved to the backup USB drive, and the CheckIn dashboard will be displayed at the end.


B  Printer:

i.  Loading the printer:

  1. Open the printer lid from the middle indentation on the top of the printer.
  1. Lift the lid up gently until it stops (about 90 degrees).  
  1. Insert the label roll into the printer using the 'key' on the cartridge side.
  1. The key slides into the slot on located above the power button.
  2. The cartridge only fits one way, and it should not be forced to fit.
  3. The labels have an arrow that should point to the front of the printer.
  1. Slide the label through the slot until it sticks out just slightly by about 1/8" inch.
  2. When you close the lid the printer will auto align the label.

Only 'Brother DK-1202' Labels are designed to work with this printer and Check-N-Print.

ii.  Connecting the printer:

Connect one end (square end) of the included USB cable to the back of the printer and the other end (flat end) into the open USB port on the back of the monitor. (Be careful to not plug the USB end into the HDMI video port)

iii.   Powering on the printer:

Plug the power cord (the 'figure 8' end) into the back side of the printer and the other end into the extension cord. The printer is set to turn on by default, and you should see the green light turn on (located on the top of the printer - - the light above the rightmost button).

NOTE: You can press the power button for 3 seconds to turn the printer on or off if needed, but it is safe to unplug the printer even while it is on.)


2.  SOFTWARE OVERVIEW:

A.  Configuring Station setting:

  1. Tap   Settings    button on the dashboard (located at lower left bottom of the dashboard).
  2. Enter your PIN code on the screen 
  1. PIN is provided in your package contents and email after purchase.
  2. Press start-over or cancel to re-enter the PIN code if you make a mistake entering the PIN.  

i.  Add your logo to dashboard:

Tap   Settings   - Tap '  Logo & Color  ' - Tap   Import Logo   - choose from USB or folder - Tap   Done   when complete

ii.  Set custom dashboard color:

Tap   Settings   -  Tap '  Logo & Color  ' - Tap a color within Logo or color grid  - Tap   Done    when complete

iii.  Custom welcome screen message:

Tap   Settings   - Tap   Print   - Type custom welcome message.

The default message is: "Your name tag is printing"

The welcome screen is displayed after a person checks in while their name tag is printing. The text appears at the bottom of the screen.

iv.  Collect email (& twitter, company name, or job title):

Tap   Settings   - Tap   Walk-Ins   - You will see choices:

Last Name, Company Name, Email, Position (Job Title), Twitter, Role,  DBC code

Touch the drop down for each and choose from the available options:


v.  Setup search method:

Tap   Settings   - Tap   Search   - Select how guests should search for names. Choose one or more options from:

Ideally, last name is enough for people to search by, however, with a long RSVP list, and many similar names, it may be advised to use both First name and last name. Company name is best used when having a vendor show where many people from the groups of companies are attending, ie. a trade show.

vi.  Let Walk-In Guests Self register:  

Tap   Settings   - Tap   Walk-Ins   - Tap "Self Register"

vii.  Limit guests to RSVPs Only:  

Tap   Settings   - Tap   Search   - Tap "RSVP Only"

viii. Direct Walk-ins to see an attendant:  

Tap   Settings   - Tap   Walk-Ins   - Tap "Send to attendant"

This option prevents guests from automatically adding their name to the system. A message is displayed (customizable by you) that prompts them who they should see.  

Please note, that by restricting guests from self registering, you will not be able to add them on this station

B.  Configuring Event Settings:

i.  Create an event on-the-fly:

Turn station on - an event is created automatically if one does not exist for the day.

The event will use the prior settings and defaults you have saved previously,.

You can edit the event as needed using the    Settings   button.

ii.  Create an event in the future:

Tap   Settings   - Tap   Event   - Tap Add Event button - change the date to whatever date you need (by default it is created for the following day)

iii.  Personalize Name tags:

Tap   Settings   - Tap   Event   -  Select Event from drop down - choose from these options:

Name tags can print several details depending on your event.  This is where custom data can be printed such as meal choice, table number, chapter name, etc.

iv.  Add Logo or Sponsors to Name tag:

Tap   Settings   - Tap   Event   -  Select Event from drop down - Select Lower Left & Image (repeat for lower Right) - Tap the area on the badge and select an image from a folder or from your USB drive

Personalize the printed name tags with up to 2 images in either of the lower corners. Images will print as Black & White only, so images should be Black & White. (Note: Color images will print, but not with the same clarity as a true black & white image).

Image resolution is optimal at 300 dpi at 1.5" wide by .6" high, though you may experiment with larger or smaller images too, keeping in mind, larger images may take longer to print.  

v.  Track Paid Guests:  

Tap   Settings   - Tap   Event   - Set Paid Event = Yes or No - Import RSVP list

If you charge for your event, you can direct people who have not paid to an attendant to pay. When importing your list, add a column named 'PAID'. For each person that paid, enter YES or TRUE or PAID in the column. Using any of those 3 keywords (YES, TRUE, or PAID) will flag those people as paid, any other spellings or words, or blank cells, will flag the person as unpaid.  The data will be exported in your statistics with a column marked PAID.  As guests walk-in and register on site (if permitted), they will be marked as UNPAID, and be shown a message that you have customized (on PRINT setting).  


C . Import Names

i.  Import name list from {Eventbrite, Meetup, Attend, etc.}:

  1. Login to your RSVP system and export your event list to CSV/XLS to a USB key
  2. Tap   Settings   - Tap   Event   - Choose the correct event from the dropdown list (or create an event) - Tap   Import   - select the CSV/XLS file from the USB key - Tap Save
  3. The list of names will import into your system after a few moments.

ii.  Import Multiple RSVP Name Lists:

  1. The same as Importing from your RSVP mentioned here, just repeat the import process for each list you have.
  2. Tap   Settings   -  Tap   Event   - Choose the correct event from the dropdown list (or create an event) - Tap Import - select the CSV/XLS file from the USB key

iii.  Import Paid Guests:

  1. Add a column named PAID to your RSVP list in the CSV/XLS file, enter YES, TRUE or PAID as a keyword
  2. Tap   Settings   - Tap   Event   - Choose the correct event from the dropdown list (or create an event) - Tap Import - select the CSV/XLS file from the USB key

iv.  Import Roles:

  1. Add column named ROLE to your RSVP list in the CSV/XLS file, enter Role (Speaker, Guest, etc.)
  2. Tap   Settings   - Tap   Event   - Choose the correct event from the dropdown list (or create an event) - Tap Import - select the CSV/XLS file from the USB key

v.  Import Custom Data:

  1. Add column named CUSTOM1, CUSTOM2, CUSTOM3 to your RSVP list in the CSV/XLS file, and enter a short amount of text for each, (such as a Table number,  Chapter Name, Food choice, etc.)
  1. (do not exceed 16 characters or the text will be too small to read)
  1. Tap   Settings   - Tap   Event   -  Choose the correct event from the dropdown list (or create an event) - Tap Import - select the CSV/XLS file from the USB key


D.  Import format

The station can import both CSV or XLS (XLSX formats)

The Column Names must be as follows:

First Name

Last Name

Email Address

Company Name

Position

Role

Paid

Only First Name is required, all other columns are optional based on your event.

The order of the columns is not critical, however, the spelling of columns is.

If a column is marked "FullName", an attempt will be made to split the name into two parts (First Name and Last name)

E.  Printing Name Tags

i.  Print a name tag:

Tap a letters in name until name is displayed or search results are reduced to none - Tap on name to print

The search setting will determine whether First name, last name and/or company name is searched.

ii.  Reprint a name tag:

Tap a letters in name until name is displayed or search results are reduced to none - Tap on name to print

iii.  Add a missing name:

Tap  Add/Register   - Enter the name details - Tap  Finish & Print -  

iv.  Correct a misspelled name:

Tap  edit  (yellow button) on the dashboard - Search for the name - Tap the name

  1. Tap the fields that need editing
  2. Use Backspace or Clear to move the cursor to the appropriate spot
  3. Type the correct name
  4. Tap   Finish & Print -

F.  Exporting Statistics & Data

i.  Export data to your CRM:

Insert USB key - Tap   Settings   - Tap   Event   -  Select Event from drop down list - Tap Use Event now - Tap Export (a CSV is exported) to the computer and USB drive if it is imported.  

You can always copy any file from the computer to your USB drive at later times if needed by tapping "Open Exports Folder" button at the bottom of the events screen, tap and hold on the event folder, tap copy and paste the export to your USB drive.

ii.  Export a pre-made list of emails:

Insert USB key - Tap   Settings   - Tap   Event   -  Select Event from drop down list - Tap   Use Event Now   - Tap   Export   (an HTML file is exported) to the computer and USB drive if it is imported.  

You can always copy any file from the computer to your USB drive at later times if needed by tapping "Open Exports Folder" button at the bottom of the events screen, tap and hold on the event folder, tap copy and paste the export to your USB drive.


3.  Advanced Features

A.  Sponsor Board

The system can be set to display the images of sponsors*, or other graphics, on the dashboard. 

When the image is touched, it can print to the printer making it interactive. This makes it easy to deliver a promotional offer, contact information, or coupon.

Tap   Settings   - Tap   Sponsor Board   - Add image (from a folder or USB drive) - Type some text to be printed - Tap Shown/Hidden below each sponsor to display on the dashboard* - Finish by tapping SHOWN/HIDDEN in the upper right to see the sponsor board.

*You can display up to 8 sponsors or images on the dashboard. When enabling less than 8 sponsors, the sponsors must be added/shown in sequential order (i.e. Tapping Shown on sponsor 1, 2 and 4 only will not work properly, however tapping shown on sponsors 1, 2 and 3 will display 3 sponsors correctly).  

i.  Print Sponsor info:

Tap sponsor logo on dashboard  - It will print a ticket

B.  Survey

i.  Set up a survey:

Tap   Settings   - Tap   Survey   -

  1. Type a question (keep the question short to make it readable quickly and fit on the screen)
  2. Set the answer captions for Positive - neutral - negative as needed
  3. Type a Thank You message (keep this really short so it is quickly readable and fits on the screen)

ii.  Take a guest Survey:

Tap   Settings   - Tap   Turn On Survey   -

C.  Checked In Guests

i.  See if someone checked in:  

Tap a couple letters in name to search - A checkmark icon shows the person checked - Tap the checkmark icon for check-in time

D.  Print Statistics

i.  See how many people checked in:

Tap the 'Check-ins' number on the dashboard - a Ticket will print with statistics

Or

Tap   Settings   - Tap   Event   - Tap Refresh Statistics now text (below the statistics section)

E.  Digital Business Cards
