The Race Director and RunSignUp have built an easy to use participant data and results integration. This guide will walk you through how to import participant data from RunSignUp into The Race Director.

Getting Started

If you plan on using RunSignUp’s results integration with RunSignUp, be sure that all of your participant data is pulled in by using this integration, NOT from a CSV file as this will not bring in the Registration ID generated by RunSignUp that is required to post results to RunSignUp.

If you use the RunSignUp race creation utility within The Race Director, it will automatically prompt you to create RunSignUp events based on your pre-existing Race Director divisions. If you do this, you can skip the next step that will walk you through linking The Race Director divisions to RunSignUp events.

Link RunSignUp Event to The Race Director

Once you have successfully created an integration between RunSignUp and The Race Director at the race level, you will need to additionally link each division within The Race Director to a unique event at RunSignUp. See this guide to learn how to map divisions to events:

Gather All Participant Data Into RunSignUp

At this point you’ll want to make sure that you have all of your participant data in RunSignUp - regardless of whether or not that participant registered online. RunSignUp allows race directors the ability to import entries manually and it will automatically create a registration ID for each of these. The Race Director also allows you to use it’s Update Participants screen and Upload function to send manual entries to RunSignUp.

The Race Director has two ways to upload participant data to RunSignUp. You have the ability to either enable “Live Mode” so that additions are automatically made on RunSignUp, or you can use the “Upload” feature found in the Update > Participants toolbar.

Assign Bib Numbers

There are a few ways to assign bib numbers, and it is very important if you plan on using the RSU results platform that it is done correctly. You can use one of the following methods to ensure correct integration:

Import Participants Into The Race Director

Now that we have ensured that we have all of the data we need to correctly import participants, we can begin the import process.

This guide assumes that you have setup your partner integration with RunSignUp, and have mapped your Race Director Divisions to RunSignUp events.

The reasons to import participant data from RunSignUp into The Race Director through the integration instead of from a spreadsheet are three fold:

  1. Stability - CSV and Excel files can be buggy
  2. Speed - It is much faster to import through the integration than having to map column headers from a spreadsheet
  3. Retention of RSU Reg ID so you can publish live results at RSU

Navigate to Update > Participants > Imp to begin the process.

First you will be prompted with the RD Division to RSU Event mapping that you have set in Tailor > Divisions. Make sure that the mappings look correct, and if they do not, edit them in Tailor > Divisions.

Sync RSU Giveaway with RD T-Shirt Cross Reference: This feature allows users to import RSU Giveaways into the RD T-Shirt feild. If any unknown values exist, it will create a placeholder value which you can change later on. If you do not require T-Shirt sizes in Race Director, you can leave this item unchecked.

In Step 3 you’ll need to decide if you’d like to process adds only, or to import all participants. You can also chose to store the confirmation code in an optional data field, and whether you’d like to import the chip code from RSU into a Race Director Personal Chip.

Next you’ll need to decide what type of teams that you are importing from RunSignUp. Note: this is extremely important depending on what type of team you are importing (relay or traditional)

The Race Director will also allow you to map RunSignUp Giveaways to Race Director Optional Data Fields. Select from the “Map To” column the RD Optional Data Field that you would like to map this RSU question response to.

When you’re finished customizing this import, click the “Create Import” button, and decide how to respond to any prompts you may get from RD when trying to complete the import:

Uploading Results to RunSignUp

Once you have all of your participant data into The Race Director you are able to easily send results data to RunSignUp automatically. You can learn how to do so by following this guide
