Sound & Lights Event Request Form
Important Sound & Lights Policy Information:

- Equipment request forms must be submitted to Sound & Lights Director (snl@whitman.edu) a MINIMUM of one week prior to your event. Requests submitted less than one week in advance are subject to a late fee ($25 for ASWC-funded organizations, and $50 for non-ASWC funded organizations.) Requests Submitted with less than 72 hours for approval WILL NOT receive equipment. No exceptions.

-Equipment will be provided on a first-come, first-serve basis.

-Sponsoring group is responsible for any lost or damaged equipment before, during, and after an event in the absence of a sound crew.

-Cancellations made within 12 hours of an event will be billed in full with the exception of cancellations due to inclement weather. Weather cancellations must be communicated to S&L staff no less than 3 hours prior to event.

-Billing will happen through the ASWC office at the beginning of each month. If your balance is not paid within one month of receipt of statement, you will be assessed an additional $10/wk until the bill is paid. Groups with outstanding balances for more than one event will not be eligible to receive ASWC Sound & Lights equipment until the bill is paid.

-For the safety and health of the technician, if a technician feels unsafe or drugs are present which could cause harm, the technician is permitted to leave the premises and disable the equipment at the technician's discretion.

Event Description:
Describe your event/equipment needs in detail so we can better assess the necessary equipment and staff support. For band performances, please also email a stage plot and tech rider specifying the number of group members, instrumentation, and special equipment needs to snl@whitman.edu. Direct any questions to the same address.
