Sharing: What collaborators and viewers can do

Once you've added them, collaborators and viewers may take the following actions in your spreadsheets:

Collaborators

  • Can also change any aspect of a spreadsheet but cannot remove the owner from his/her spreadsheet.
  • Can export the spreadsheet to their local computer.
  • Depending on whether or not you checked the box next to Collaborators may invite others, collaborators may or may not be able to invite others to your spreadsheet.
Please note the Collaborators may invite others option does not control the ability for collaborators to invite others to fill out a form. That action is always open to all collaborators since the form itself is more openly accessible.

Viewers

  • Can only navigate around the spreadsheet and cannot change it's content, format, or structure.
  • Cannot add or delete other viewers or collaborators.
  • Can export the spreadsheet to their local computer.
A Note about Publishing:
You can allow people to access your spreadsheet through a published or shared URL. If people are viewing your spreadsheet this way, they cannot make any changes unless you've also added them as collaborators. Although you don't need a Google Account to view a document, spreadsheet or presentation via an invitation, you do need to sign in with your Google Account to edit the document, and to gain full access to Google Docs. To create a Google Account, please visit the Google Accounts sign-up page. When you do create a Google Account, make sure it's connected with the address you used to access your documents and spreadsheets initially.
