Working with Collaborating: Inviting mailing lists as collaborators

Here's how to invite mailings lists:

  1. Open the document, spreadsheet, or presentation you'd like to share.
  2. Click Share > Invite people...
  3. Select either To edit or To view, depending on your preference.
  4. Enter the email address for the mailing list.
  5. In the Advanced permissions tab, select the option labeled 'Allow invitations to be forwarded.' This will allow access to all members of your mailing list.
  6. If you'd like your collaborators or viewers to access the doc without signing in, click the People with access tab, and select either 'Let people edit without signing in' or 'Let people view without signing in.'
  7. Click Send to send an invitation to your collaborators or viewers.
If someone from a mailing list you shared your doc with forwards the invitation to others, those additional people can use the invitation to access this spreadsheet, document or presentation as well.

Keep in mind that the sharing restrictions still apply. After these limits are reached, no one else from the group will be able to access the doc.

These sharing restrictions apply:

Limits for documents and presentations: You can explicitly share with 200 combined viewers and collaborators; however, you can make your doc available to anyone by publishing it, without having to specifically invite people to view it. 10 people may edit and view at any given time.

Limits for spreadsheets: You can explicitly share with 200 combined viewers and collaborators; however, you can make your spreadsheet available to anyone by publishing it, without having to specifically invite people to view it. 50 people may edit and view at any given time.

Removing access to your docs

If after you've selected the option 'Allow invitations sent to mailing lists to work for all recipients,' you'd like to remove access to your collaborators or viewers, follow these steps:

  1. Click Share > Invite people...
  2. Click the Advanced permissions tab, and deselect the option 'Allow editors to invite others to edit or view.'
  3. In the People with access tab, click the drop-down menu to the right of the name you'd like to remove and select None. Click Save and close. Follow these steps to remove any new viewers or collaborators who accessed the doc while the option was selected. This will prevent people who originally received an invitation from regaining access by using that same invitation link.

Note: You can later select 'Allow invitations to be forwarded.' This will create a new invitation that can't be reused by people who still have access to the old invitation.
