CYBVC Beach Blast Host Guide
All of the items listed below are basic guidelines for the Beach Blast Host. Individuality and style are more than welcome and make each event new and different for the players. Also, feel free to suggest new ideas. Thanks for participating and helping out.
Drink and Snack Suggestions
- Drinks: Gatorade, bottled water, juice (about 2 bottles per player)
- "Goodie" bag with munchies – examples: crackers, fruit, fruit snacks, cookies, granola bars. Nothing fancy. In extreme heat, make snacks heat resistant or pack in coolers. Some like to put into bags with names on them for easy distribution. Others just make it an open buffetJ
- Brian will close registration for the event at 5pm the Thursday before and send you the final head count.
Awards
I've got the medals for 1st and 2nd place for each age group. The only awards you need are some type of gag or homemade Kings Crowns. Be creative… Past Hosts have used Burger King Crowns and cheap cowboy hats and decorated them. “Dollar Store” is the best store for 3rd place prizes and crown supplies. Just make it cheap and the crazier the better.
- 2 King/Queen Crowns (one for 12:U and one for 14:U Divisions)
- Optional third place gag prize
Finances
Just figure on spending $6-$7/player between the munchies, drinks and prizes. Other possible items to bring are dependent on the weather. Extreme heat needs like ice or coolers, etc. The Event Host will collect $6 from CYBVC members and $8 from non-CYBVC members when they arrive at the event. We don’t want to make any money from this event but I don’t want Hosts to loose money either. Make sure you factor in gas money used to shop too. If after the event, your budget shows a deficit, please let Brian know and he’ll make up the difference.
Examples:
- Shade Umbrellas, tents, gazebo (other families might have these)
- Water and Ice. On extreme heat days, we need to make sure the players and coaches drink plenty of cold fluids. I would hope that most of them would bring extra but I would rather be safe than sorry. I have a large orange cooler and can fill it with ice.
Event Day Schedule (start times depend on weather and the number of players)
- 8:15am – Event Host and Brian Magee or Director arrive to setup.
- 8:30am – Players start arriving to check-in. Event Host will take money and check off registrants.
- 8:50am – Director will review format and rules with Players.
- 9:00am – Play begins.
- 10:30am – Hopefully…..1st Round is complete and starting 2nd and final Round (this will depend on the number of players, weather and configuration of play).
- 1:00pm – 12’s complete.
- 1:30pm-1:45pm – 14’s complete. Immediately start the awards ceremony and crowning of Kings/Queens for both divisions.
- 2:00pm – Clean up and go home. We need to leave the park in better shape than when we arrived. Player will be instructed to help.
