SPORTS BOOSTER MEETING MINUTESMeeting held November 28, 2008
Call to order at 6 PM by president KellyAnn Trundy
Present: KellyAnn Trundy, Debbie Jones, Cathy McGuire, Miranda Billings, Vicki Davis, Tiffany Eaton, Tasha Conary-Brown, Susan Heanssler, Dennis Rollins, Heidi and Brian Burgess, Heather Cormier, Suzette Grindle, Michele Sadler-Gove
Kelly restated the need to form a Board to help relieve the stress related to decision making as discussed at the last Booster meeting. A vote was called to elect Cathy as vice-president and Michele as secretary. (Tiffany Dauk will continue to serve as the treasurer.) The vote carried with 9 in favor, 0 against and 3 abstaining (Cathy, Michele, Susan.) (Suzette and Heather not present at this point.)
The question was raised if only the Board would be able vote. It was explained that everyone who attends a meeting is a member of the Boosters and is able to vote and voice their opinions, but that smaller decisions may be made by the Board. For example, the decision to buy plaques or trophies may be made by the Board, but bigger decisions like buying mats, would be made by the Boosters.
Dennis suggested a member-at-large be added to keep an odd number on the Board, eliminating tie votes. Heidi nominated Dennis as the member-at-large, Michele second, vote - 13 in favor, 0 against, with Dennis abstaining.
Kelly asked Heather to make a disc with copies of team photos for her to help with timely production of the Booster calendar.
Michele will e-mail minutes of meeting to members who supply their e-mail address. She will also check with Mark Arnold to see if they can be posted on the school website. (E-mail to Mark Arnold 11/27/08 - awaiting his reply... posted on website 11/30/08)
The Joe Brown Memorial stone is at the engravers. It is hoped it will be finished soon and placed at the field.
The Yankee Candle fund raiser yielded $2990 with 12 children participating.
Miranda requested a mat for the cheerleaders. Vicki has a call in to the company to possibly combine our order with another school to make a bulk order, reducing the cost for everyone. The cost of a mat is somewhere between $800-1000. Officially, there should be 7 mats - our cheerleaders have only 3. Vicki stressed the importance of having another mat as it is a safety issue. Kelly moved another mat be bought, Cathy seconded. The vote was unanimous. Vicki will order it. Kelly will let Tiffany Dauk know.
Carmen Rollins bought supplies for the concession stand. Kelly will pick them up. Scott Seile at the Galley has agreed to supply hot dogs at the store's cost.
Parents with children participating in cheering and both A and B basketball are asked to help man the concession stand. When it is their night, parents are asked to bring baked goods (for example, cookies, brownies, cupcakes) to sell. If parents are not able to do their shift, it is their responsibility to find someone who can. Vicki gave Michele a list of those participating in cheering and basketball to help with signing up parents. Michele and Kelly will take the December 1, B games and will try to sign parents up then. There may be some high school students looking for community service hours who will also help.
The budget for sports is currently frozen, making Booster support that much more important, which mean more fundraising. Ideas such as charging $1 admission to the games or 50/50 tickets were discussed. It was agreed a few big fundraisers such as a dinner or a car wash, were better than a variety of small ones, with participants of all school sports helping. Kelly mentioned the foul shooting was successful last year. The Yankee Candle sale was also successful, but only a few kids participated. Vicki and Kelly agreed to sell the old cheerleaders uniforms at games for $10 each, once the new uniforms are all in.
The next Sports Booster meeting was set for Monday, December 15 at 6 PM in room 209. All are welcome and encouraged to attend.
