Themes discussed according to the agenda
Minutes from 12-01-07 (CM): According to the minutes of the last meeting, the following were the pending points: mailing list, promotion of SnS and editorial policy. The description of the specific plan of action taken and the responsible assigned is on the point “Assignments”. (complement)
Technical activities: The main issue is to improve the functionality and impact of the SnS on the web site. According to the statistics, the SnS web site in Spanish and French was successful. One initiative is to create a web site dedicate exclusively to SnS, from there, it could be possible to increase the potential of the English version and other products of IRC. The suggestion is to analyze the requirements of this new web site in terms of its functionalities for the users. HO and CD will discuss this point.
Mailing list management – promotion: The objective is to identify new subscribers to SnS at organisational level. The new PRASS will look at the existing mailing list. The creation of a promotional letter (first draft from Dick) and the tracing of the result of the promotion activities are other important factors for implementing the promotion strategy.
Regional issues: A Net Work in Bolivia (CGIAB) asked for permission first to translate news from SW and later use IRC corporate news plus some additional help for their radio programme. The interesting point was the possibility of contributing with a local bulletin (by the use of SnS as a basis/ source of information for the bulletin “Todo sobre Agua”) and the participation in a regional radio programme focused on water issues. Caridad contacted the Net Work – organisation, in order to clarify its needs and expectations; meanwhile, at internal level; it will be discussed within the Latina America Group.
Survey Monkey: It is not clear whether or not the Survey Monkey service is still available for monitoring the quality of SnS. The action suggested is to do an internal research about the conditions and state of the contract of this service. Then, it will be possible to improve and continue measuring the quality of this product. SpS will be in charge of the research.
Source water and sanitation news: There is a need to update the web site to include a new Source South Asia newsletter, which will be sponsored by UNICEF South Asia. The objective is to define a functional design for an improved Source web site, including new functionality of the web site (SnS focus). Action defined: to look at the requirements described and define a workflow for this development. HO will be in charge of this activity. [Since the meeting CD has prepared a proposed functional design for a new Source web page and HO has contacted a potential consultant, Chris Adderson, who could act as facilitator to help with the functional design]
Editorial policy: The process of the improvement of the editorial policy is going on. However it is important to highlight this activity. RV will look at the current documentation in order to complement it with all the aspects needed (Format, legal requirements, policies).
WSSCC meeting in April: WSSCCcould become a potential partner for the generation and distribution of SnS again, nevertheless, due to experience from the past, some points should be discussed in order to avoid gaps and improve the relationship between the organisations. The plan is to share at the internal level, (one week before of the TFW), experiences working with WSSCC, and decide the members of the group for the meeting. RV will make the final decision about the group members; however suggestions and candidates are welcome.
Inputs from partners: CREPA raised two issues for the meeting:
Contact person: With the aim of being efficient in the communication process, CREPA reinforced the importance of the coordinator role in light of the co/creation of new partners. This coordinator is Caridad.
The suggestion made is to ask to the users of SNS to give the name of the organisation which they work with. This could be time consuming, or simply, there is no organisation at all. Then, the suggested action within the group was to re-look at this recommendation.
