Minutes

In attendance: Kati Trice, Eric Uphoff, Jon Triantafyllou, Nic Bagherpour, Nick Magruder, Remington Pohlmeyer, Devin Taylor, Katrina Gutierrez

1. Call to Order

2. Approval of the Agenda

• Devin motions to approve the agenda, Remington seconds.

3. Approval of Minutes

• Remington motions to approve the minutes, Nic seconds.

4. Ongoing Business

• UNT Shop Day: February 26^th

  • Fliers ready to hand out, thank you Bibi

  • Bibi is providing table

  • Remington proposes Nic make a check list of Shop Day materials

    • Nic agrees

  • Thursday Shop Day 10am-4pm

• Ongoing Shop Days: Sunday’s @ 5pm @ Howard’s

  • Nick suggests we hold regular Public shop days

  • Nick volunteers his house, it faces busy UNT street and is close to the inventory

• Earth Week @ UNT: April 20^th- 24^th

  • Steering Committee met with Jordan from NTEEC earlier in the day. We would like to bring before the QCBS council the idea of tabling on Tuesday and Wednesday, and holding a shop day on Thursday.

    • Devin states that that is a very busy week for us and Bike Valet at Jazz Fest begins that Friday @ 3pm.

    • Kati and Nick can table Wednesday 10am-2pm. Nic can be present for all of shop day on Thursday. Because of lack of volunteers we will not table on Tuesday.

    • Remington makes a motion that group will table on Wednesday and have shop day Thursday, April 23^rd @ 10am-4pm. Nic seconds.

  • Bike Parade: Nick, Nic and Kati Volunteer to organize

    • Will communicate thru email

    • QCBS could promote for parade/rally at Jazz Fest bike valet

    • Need to inform all riders/participants at Sustainability Bike Parade of the road rules of courtesy and safety

• Jazz Festival: Bike Valet

  • Power Point Presentation made by steering committee

    • Remington did not send off proposal yet. He voices concerns that the proposal should be edited to reflect an appropriate response to the Jazz Fest organizers. He states that they want to know clearly the logistics of the space that they gave us (currently option C in the proposal.)

    • The organizers also need to understand how signage will be displayed.

    • Add to Presentation: details of after-hours security and remaining bikes.

    • Remington will send off a cover letter to further explain our response.

  • Location clarification

  • Jon would like to be in conversation about Bike Valet progress online

• Brochure

  • Remington send Bibi brochure for Spanish translation

• Brochure with Local Bike Shop Contact Info/ Location

  • Kati will make this for Shop Day

• IRS Filing Update

  • Sent reply to clarification letter to IRS, have tracking # , will check on this week.

  • Deadline is Wednesday, Feb 18^th for response.

• Redbud Festival

  • Will make informative display of Green Bikes for festival on April 11^th.

• DATCU Update

  • Devin needs full name and address from all steering committee members.

  • Two new Directors need to be officially named to have access to treasury funds.

    • Remington motions to change signatories on DATCU bank account to the now acting Directors: Devin Taylor and Howard Draper. Nic seconds; consensus is reached.

• Storage Space Donation Update

  • Kati tried to contact Storage facility, needs to call back on Tuesday.

5. New Business

• Contacted by Katrina Gutierrez, reporter for DTV because of Green Bike Project

  • Will be interviewing Remington. She would like to film group by Wednesday.

  • Group agrees best time to film group would be at a regular Sunday Internal Shop Day @ 5pm @ Howards. We need Howard’s permission before filming takes place.

6. Review of Tasks for next meeting

• Remington

  • Contact Jordan to confirm dates for QCBS Shop Day during Earth Week @ UNT

  • Contact Jordan to notify him we are interested in organizing Bike parade/ Rally/ Ride

  • Will work to edit Jazz Fest Bike Valet Presentation

  • Will send off a cover letter to Jazz Fest when he sends proposal.

  • Make banner with Kati

  • Research QCBS Student Organization status

  • Ask Howard for permission to film on Sunday for Shop Day on behalf of DTV.

  • Contact Gwen with IRS to confirm her receipt of our response to her clarification letter

  • Work with Nic and Nick to begin organizing Bike Rally/ Parade for Earth Week

  • Resend contact list to members

  • Make banner with Remington

  • Make brochure for Shop day with bike shop info

  • Notarize minutes for DATCU

  • Contact Storage Facility about donation of space.
