STANDARD CONDITIONS OF HIRE


  1. THE HIRER will during the period of hiring, be responsible for supervision of the hired premises, the contents, their care, safety from damage however slight or change of any sort and the behaviour of all persons using the premises whatever their capacity, including supervision of car parking arrangements so as not to obstruct the highway.

  2. THE HIRER shall not sub hire, allow or use the premises in any unlawful way or bring onto the premises anything which may endanger the same or any insurance policies in respect thereof nor allow the consumption of alcohol without permission.

  3. THE HIRER will be responsible for obtaining such licenses as may be needed.

  4. THE HIRER shall comply with all conditions and regulations made in respect of the premises by the fire authority, local authority, local magistrate court or otherwise, particularly in connection with any event which includes public dancing or music or other similar public entertainment or stage plays.

  5. THE HIRER shall indemnify the Association for the cost of repair or damage done to any part of the property/car park including the contents of the building, which may occur during the period of the hire as of the hiring.

  6. THE HIRER at the end of the hiring shall be responsible for leaving the premises and surroundings in a clean and tidy condition, taking away any rubbish that has been collected. The premises shall be left securely locked unless directed otherwise, and the contents replaced to their original positions otherwise the COMMITTEE will be at liberty to make an additional charge or make a deduction from any deposit held. The keys should be returned to the key holder and all other keys to remain on the premises.

  7. THE COMMITTEE RESERVE the right to cancel this hiring in the event of the hall being required for use as a polling station for a parliamentary or local government election or by election in which case the hirer shall be entitled to a full refund of any monies paid to the COMMITTEE.

  8. THE COMMITTEE RESERVE the right to access at all times and shall have the right to eject any person and/ or the right to terminate the hiring in the event of any nuisance.

  9. IN THE EVENT of the hall or any part thereof being rendered unfit for the use for which its been hired the COMMITTEE shall not be liable to the hirer for any resulting loss or damage.

  10. THE COMMITTEE RESERVE the right to refuse any application for the use of the premises or to cancel any letting before a function takes place. THE COMMITTEE will not be liable to pay any compensation in respect of such a cancellation.

  11. THE COMMITTEE ACCEPTS no responsibility for any accident loss or damage arising out of the use of the hall, and the hirer SHALL IMDEMNIFY the COMMITTEE against any claims made against the COMMITTEE. The hirer is advised to insure against his/her liability.


SCHEDULE OF SPECIAL CONDITIONS

  1. DEPOSIT-a deposit has been paid by the hirer to the COMMITTEE. This is only returnable if ALL conditions have been met.

  2. NOISE- noise levels should be lowered after 11pm so as not cause a nuisance to neighbours and external doors and windows should be closed after 10pm. The hirer is also responsible for ensuring those present leave with due consideration for other people, particularly when using a motor vehicle.

  3. ELECTRICITY- all interior lights and electrical sockets must be switched off when leaving the building. No unauthorised heating appliances shall be used without the consent of the COMMITTEE.

  4. CENTRAL HEATING- instructions must be followed and it must not be altered under any circumstances.

  5. DECORATIONS- no external decorations, flags, emblems, or notices are allowed to be attached to the fabric of the building. NO DRAWING PINS, NAILS, TACKS OR STICKY TAPE are to be used to attach decorations or notices to interior walls.

  6. REFUSE- all refuse is to be removed completely. This included items left over from auctions and jumble sales etc.

  7. THE NUMBER- of persons on the premises shall not exceed : 80 for Reffley Hall and 180 for Reffley Suite.

    SPECIAL CONDITIONS OF HIRE TO COMPLY WITH THE PUBLIC ENTERTAINMENTS LICENSE ISSUED UNDER THE LOCAL GOVERNMENT (Miscellaneous provisions).

    SUPERVISION

    1. The hirer shall not be under 21 years of age, shall be in charge of, and of upon the licensed premises during the whole time they are open for public entertainment. The person in charge shall not be engaged in any duties which shall prevent the hirer from general supervision. There shall be a minimum of 2 persons neither under the age of 21on duty on the premises when they are being used for public entertainment.

    2. All means of exit in the premises must be kept free from obstruction and immediately available for instant free public exit. The emergency lighting supply illuminating all exits signs must be turned on during the time the premises are occupied. (If not operated by an automatic mains failure switching device).

    3. The Fire Brigade shall be called to any outbreak of fire however slight, and details given to the COMMITTEE.

    4. Performances involving danger to the public shall not be given. Explosive substances shall not be brought into or used in any part of the premises.

    5. No internal decorations of a combustible nature (e.g. Polystyrene, cotton, wool ) shall be erected without the written consent of the COMMITTEE.

    6. The premises shall not be used for public entertainment or the sale of alcohol except between the hours of 9am and 11pm unless special permission has been issued by the COMMITTEE.

    7. If the hirer intends alcohol to be sold on the premises then the caretaker will provide details of the named licensee who is the authorised provider of this service for Reffley Community Association.

    8. THE PERSON WHO SIGNS THIS FORM WILL BE HELD PERSONALLY RESPONSIBLE AND EXCEPTS FULL RESPONSIBILITY FOR ANY DAMAGE THAT MAY BE CAUSED TO PROPERTY OF THE COMMITTEE OR THAT OF ANY THIRD PARTY ARISING OUT OF THE HIRING OF THE HALL AND MAKING GOOD OF THE SAME.
