SVdP/Christian Service committee meeting minutes for November 2009

OLD Business


Brian O'Neil spoke to the group on behalf of the Christmas in Action program (formerly known as Christmas in April).  Due to county budget cutbacks, this group is appealing to partner organizations to help offset expenses for the 2010 program.  St. Francis has had a longstanding and positive involvement with this program.  Kempton and Wright expressed interest in providing funds to allow that relationship to continue.  Final decision will be made at a future time.


Minutes of October 2009 meeting were reviewed and accepted.


Hayden detailed status of November food drive.  All Masses have at least some volunteers passing out bags.  Cub scouts will cover the two busiest Sunday morning masses.  Hayden will call food recipient organizations to confirm their need.  Co-coordinator Mike Nazareth's involvement from here on out is limited due to travel plans.


Members discussed their experiences in returning Time & Talent sign-ups.  The group welcomed Robert Samy, attending his first meeting at the invitation of Mary Hayden following a Time & Talent call.


Sherzer reported via e-mail that a car donation transfer was successfully completed last month.  He and Friends InDeed have the next candidate in mind, with details to come.


Hayden reported that the October Alpha House week went well overall.  Mollo said that some unexpected volunteers threw off the food estimate on the night he helped with dinner.  This is a difficult problem to correct.  Meal providers may simply need to bring a bit more food than the headcount estimate would indicate to cover such unforeseen occurrences.  Hayden said that coordinators maintaining a consistent presence throughout the week helps keep on top of the needs that pop up.



NEW business


Wright described the Soup Sale program that our Peace & Justice committee is undertaking with our sister parish at Corpus Christi.  The program is still being planned, and will likely not get going until 2010.

Kempton encouraged any members who could attend a Q&A session with the Delonis Center Director on November 11.  The speaker will be at the St. Thomas parish office at 10:30.

The Christmas Party planning is in full swing.  Kempton will return as activities coordinator.  Roger Parlett will coordinate the food, and Zach Weathers will handle decorations.  Perry Nursery School has accepted our invitation.  Child Care Network has not yet responded to the invitation.  Rich Badics has agreed to serve as St. Nicholas again this year.  The school choir cannot make our chosen date.  Wright suggested asking the handbell group to provide music.  Kempton will follow up.

Kempton cannot attend the December meeting.  Mollo volunteered to chair in his absence.

The meeting was opened.

OLD Business


Minutes of September 2009 meeting were reviewed and accepted.


Members reviewed the 2009-10 goal draft.  Wright suggested that we not state the continuation of existing programs as a goal, since this is expected and understood without saying.  Group agreed, and that goal will be removed before the document is submitted on October 12.


Kempton observed that the Ministry Sunday held on September 20 did not result in as many direct conversations with new faces as we had hoped, perhaps because there were so many ministry helpers standing and speaking with each other that it was tough for other people to break in.  Wright suggested that we make a stronger effort to mix in with the attendees next time.


Wright reported that Allen Sherzer has located a car for our current car donation program client.


Hayden has begun working with new food drive co-coordinator Mike Nazareth on the November event, which is progressing nicely.


Hayden is working with new IHN Alpha House coordinator Al Zangrilli.  The group is stepping up their calling efforts to fill our upcoming host week, Oct. 19-25.  Wright suggested that they use the parish-wide "Tag Along and Try" initiative to request that existing volunteers recruit new helpers.



NEW business


Kempton and Kilburn volunteered to fill Susanna Brown's call for Giving Tree helpers on November 27.

Hayden volunteered to coordinate new "Gift Recycling" program.  Following Christmas, parishioners who received a gift they don't need will be asked to drop off that gift at the parish for redistribution to the needy.  Program will need advance publicity, then administration of gift collections at the parish, then coordination with partner organizations to distribute collections.

Members selected December 10 as the date for this year's Christmas Party.  Perry Nursery School and Child Care Network will again be the partner organizations.  Kempton will contact Perry to get that process started, along with possible St. Francis coordinators.  Kilburn asked to shadow Kempton's work on that project with an eye toward a more prominent role in the future.

Wright presented three individual aid requests that have come into the parish recently.  Two were from known parishioners, one from an unknown person.  Members agreed to mention the two parishioners' requests to the Time & Talent signups we call back this fall, as a possible first helping opportunity with our group.  The third case will not be acted upon.

SVdP/Christian Service Committee Goals/Action Plans for 2009-2010 - due Oct 12, 2009


  1. Organize a fair for invited non-profit groups to solicit volunteers from amongst our parishioners.  This would probably occur during coffee and doughnuts.
  2. Produce a video celebrating a successful Christian Service event, for distribution via web and a showing during coffee/doughnuts.
  3. Organize a joint service project with Corpus Christi Parish that involves parishioners from both parishes working side-by-side to achieve a common goal. The Christmas In April and Habitat for Humanity projects is anticipated to be the joint service project that provides the avenue for such collaboration between parishioners.
  4. Creation of a social networking presence (Facebook and/or Twitter) that publicizes and celebrates Christian Service activities. This presence will publicize events for each of the ministry groups listed above.

OLD Business


Minutes of May 2009 meeting were reviewed and accepted.


Parlett reported a "moderate" response from parishioners for the June food drive.  21 parishioners delivered food to Corpus Christi, where they were welcomed with lunch.  Huntsman suggested that the delivery time be moved later to allow for more contributions from people who attend 12:15 Mass.


Kempton reported that our June IHN Alpha House week went well, with all meals accounted for and only a couple unfilled shifts.  Hayden suggested sending out food preparation notifications, including all volunteers' contact information, further in advance to allow providers more time to coordinate their contributions.  The main notification had been distributed just a few days before our host week.


Mollo reported that the quantity of donations for the July backpack drive were down slightly from last year, but that the donations were of an overall higher quality this time.  Roughly 50 backpacks' worth of supplies were delivered to attendees of Corpus Christi's summer program.  Mollo observed that we may want consider something other than school supplies next summer to keep the program fresh.


Sherzer reported that the Habitat for Humanity Catholic House was completed and dedicated over the summer.


NEW business


Sherzer described a new candidate recently interviewed for the car donation program.  He and Kempton have collaborated on a write-up that will appear in the Forum as well as the bulletin of St. John Ypsilanti parish, where the candidate is a member.

Sherzer reported that a successful vehicle transfer took place in June.

Parlett says he must pass on the lead food drive coordinator role in time for the November drive.  The group agreed that the upcoming Ministry Sunday event will be a good opportunity to publicize the need.  Huntsman volunteered to be of service where possible.

Kempton also expressed a desire to transfer the coordinatorship role for IHN Alpha House in time for the October host week.  He will consult with Scott Wright on options for filling that position.  The position will also be featured at Ministry Sunday.

Members reviewed progress on 2008-09 ministry goals as part of a discussion of our goals for 2009-2010.  We collected five goals for the next year, which will be submitted separately.

-- One new goal that springs to mind is the creation of a social networking presence (Facebook and/or Twitter) that publicizes and celebrates our activities.  As measurable outcomes, we could monitor the number of items posted to this presence and/or the number of followers we attract on these services.

Food Gatherer's Community Kitchen:

To encourage personal written testimony  from one or more members of the ministry to be shared parish-wide, via the FORUM and/ or THE CANTICLE.
To increase the number of volunteers who serve the hungry at the community kitchen.
To celebrate and build community by having a party for those who serve the hungry.


Food Drive Leaders:  Roger & Chris M.

Next one year:
(1) 20% increase over 2009 in the number of volunteers traveling to Corpus Christi parish for the food drive.
(2) 10% increase over 2008-2009 in the amount of food collected, either in terms of number of bags or weight.   (The problem is we probably do not have good metrics for the 2008-2009 year.)

Next five years:
(1) At least 5 different people coordinated the food drives over the previous 5 years.

Rebuilding Together, Washtenaw:   Jim Wiseman

-- the St Francis team will help one client in one 8 hour day each year.   We have had for the past 3 years enough volunteers - much more and we might split into two groups --- and take on another house.  However, we must not dilute our efforts or burn out our volunteers.

-- do fund raising to support our (St. Francis) project house ... it would be nice if we could support our own house --- typically ~$1,000 in materials.

The greatest need is funding, which is not obvious to the average volunteer. Funding dictates how many clients we can serve and how much we can do for these people.


Tax Program Leader:   Julie


1.       Continue to provide the best service to the clients who come for tax preparation services.

2.       Increase client traffic 10% per year by filling all appointment slots and increasing appointments annually if volunteer levels allow.

3.       Continue to maintain at least 7-10 volunteers in the program, with at least 50% of these people having had prior experience in the program at St. Francis or elsewhere.

4.       Consider breaking from the IRS to allow for more flexibility in the program.  This may require some type of “release” signed by each client since we are not accepting payment for the tax work.



Parish Sustainable Garden Project  -  Tracy & Grace:
 
-- to work towards a 3 season harvest cycle - so to bring more produce to our families;
-- to tie into #__# other outlets in the community who could use our fresh produce for those less fortunate;

OLD Business


Minutes of April 2009 meeting were reviewed and accepted.


Mollo reported that Corpus Christi is receptive to another backpack drive this year.  He has reached out to Ellen Ward about repeating Vacation Bible School's involvement.  If Vacation Bible School will not participate again this summer, the drive will collect items from the parish at large.


Wright reported that Christmas in April work went well.   There will be an article on the event in Faith magazine.


Kempton reported that a new assistant coordinator (Mary Hayden) had stepped forward for IHN Alpha House week.


June food drive planning progresses under Roger Parlett.  Parlett reported to Mollo some concern over getting the necessary empty bags.  Wright suggested that Sharon Wright may be able to help.


Wright reported a lull in Habitat for Humanity volunteers.  Members discussed possible publicity changes to help increase the volunteer number.


NEW business


Wright presented the current state of our group's congregation visitation plans.  Details will be e-mailed to visitors.

Sherzer said that the car donation program is ready for a new candidate.  He will contact committee members soon for help in interviewing.

Wright reported contacting parishioner Frederica Kilburn about her expressed interest in the Christian Service committee.

Sherzer reported that Friends In Deed needs a new communications worker to help with newsletter composition and web site updates.  Huntsman agreed to offer FID help in this area using free online publicity tools.

Members discussed a stronger willingness on the part of donors to address problems in areas other than Washtenaw county.  Hunstman pointed out that our county is perceived as an area less hurt by poverty than other areas, and that that perception hurts the individuals in our area who do need help.

Members reviewed progress on 2008-09 ministry goals.  Members agreed that the year is progressing well, with areas in need of renewed concentration being: 1) new member recruitment 2) better communication of positive local program results and 3) better collaborative effort with Corpus Christi sister parish.

Reminder that the committee will not meet in June due to congregation visits.  We will not meet in July due to the Independence Day holiday.

  1. Recruit two new committee members with one targeted to assume the chair position after appropriate orientation and another to assume the secretary position.

  2. Learn more about local housing problems, in particular low income housing and develop a new initiative or steps to enhance a current initiative already in existence through this discovery process. Included in this exploration will be a meeting with someone knowledgeable in this subject matter such as Steve Polgart from Habitat For Humanity

  3. Continue to facilitate the availability of coordinators for all existing service projects of the St. Vincent Christian Services Ministry including:
    > Car donation program
    > IHN Alpha House shelter
    > Food Drives
    > Giving Tree
    > School Backpack Drive
    > Charitable Christmas Dinner (Perry Nursery School)

  4. Analyze the results of the upcoming parish-wide survey and develop at least one new initiative (service project) based on this review, as appropriate.

  5. Organize a joint service project with Corpus Christi Parish that involves parishioners from both parishes working side-by-side to achieve a common goal. OLD Business


Minutes of March 2009 meeting were reviewed and accepted.


Wright reported that the budgeting seminars held during March had low attendance.


NEW business


Wright presented a draft of the Social Ministry Five Year Plan.  As part of our long-range planning effort, visits to other community congregations will happen in May.  During these visits, leaders from our committee will examine how other congregations perform Christian service and social ministry.  All members present shared available dates with Wright for him to fill with appointments.

Wright reported that Brian O'Neil is leading the Christmas in April program this year, which is well-staffed with volunteers.

Mollo agreed to contact Corpus Christi parish to guage need for a backpack drive this summer.  If the need is there, we will coordinate with Ellen Ward to collect for the drive during Vacation Bible School.

Kempton volunteered to serve a two-year term as chairperson of the SVdP/Christian Service committee, relieving Mollo, who has served past the end of his term.  All present thanked Mollo for his service during the last two years.

Hunstman expressed desire to learn more about the coordinatorship of IHN Alpha House week, with an eye toward possibly taking on a leadership role in the future with that project.  Kempton, the coordinator for our June week, agreed to include her on all communication surrounding that project.

Wright reported that the June food drive recipients are confirmed, with Roger Parlett on board to coordinate for St. Francis.

OLD Business


The Minutes for the November 2008 meeting were reviewed and accepted.


The calendar for January and February was reviewed.


Sherzer reported a successful car donation transfer to a candidate he and Scott Madden interviewed.   St. Francis parish generated two vehicle donations.  The second car was given to another Friends In Deed candidate.


Wright reported that planning for the rotating mens' homeless shelter scheduled to take place during the final week of February is progressing well under the coordination of Sara Uytingco.

The Spring food drive scheduled for March 8-15 is still without a coordinator.  Wright and Partlett discussed ideas for filling the position.  Wright said he would look over his list of past coordinators for possible candidates.


NEW business


Wright asked for support in his upcoming Social Ministry Budget presentation to the parish council.  Mollo and Kempton expressed willingness to attend.

Mortgage Foreclosure Prevention seminars will be held in January and February under the direction of Patricia Williams, parishioner

and real estate professional.  The MSU Extension office sent some fliers to Scott to distribute and may also have someone at St. Francis for the seminars to help attendees.  Wright will report at the next meeting the success of this new venture.


Wright detailed a new program led by, among others, Sara Uytingco and Grace Potts, to coordinate a Community Kitchen for parishioners to cooporate in food preparation for their families.  The goal of the initiative is to promote healthy eating while also saving money.


A brainstorming discussion was held on the general topic of new program ideas.  A program for low income renters was discussed.  Kempton suggested the possibility of hosting more financial seminars like the old BUCKS program.  These seminars could be directed by the MSU Extension office.   Scott will call Terry Jones.


Mollo, Partlett, and Wright discussed the preliminary results of last fall's parish Gallup survey.  Wright reported that a more comprehensive tabulation of results is forthcoming.


The specific case of an family who recently experienced painful losses in an apartment fire was discussed.  The family are not parishioners.  Wright suggested the idea of offering Stephen Ministry support to the family.

St. Vincent Service Ministry 2008-2009 Goals


  1. Recruit two new committee members with one targeted to assume the chair position after appropriate orientation and another to assume the secretary position.

  2. Learn more about local housing problems, in particular low income housing and develop a new initiative or steps to enhance a current initiative already in existence through this discovery process. Included in this exploration will be a meeting with someone knowledgeable in this subject matter such as Steve Polgart from Habitat For Humanity

  3. Continue to facilitate the availability of coordinators for all existing service projects of the St. Vincent Christian Services Ministry including:
    > Car donation program
    > IHN Alpha House shelter
    > Food Drives
    > Giving Tree
    > School Backpack Drive
    > Charitable Christmas Dinner (Perry Nursery School)

  4. Analyze the results of the upcoming parish-wide survey and develop at least one new initiative (service project) based on this review, as appropriate.

  5. Organize a joint service project with Corpus Christi Parish that involves parishioners from both parishes working side-by-side to achieve a common goal. The Christmas In April project is anticipated to be the joint service project that provides the avenue for such collaboration between parishioners.
