Business Correspondence


Communication through exchange of letters is known as correspondence. We communicate our feelings, thoughts etc. to our friends and relatives through letters that may be called personal correspondence. A businessperson also writes and receives letters in day to-day transactions, which may be called business correspondence. A business letter is more formal than a personal letter.


Business correspondence is important because:


  1. It helps in maintaining proper relationship

  2. It is an inexpensive and convenient mode of communication

  3. It creates and maintains goodwill

  4. It serves as evidence

  5. It helps in expansion of business.


Your specific tasks for this assignment are:


1. Go to http://owl.english.purdue.edu/owl/resource/653/01/ and read Writing the Basic Business Letter


2. At the bottom of the screen, click Sample Letters and review the sample letters shown.


3. Complete the following Correspondence Project Prompts:


A. Two months ago, you ordered a one-year subscription to a magazine and enclosed a check for $24.00. You have received no response and no magazines. The check has not cleared the bank. Write a letter to the magazine explaining the problem and stating what action you would like the magazine to take.


B. Write a cover letter for a scholarship application. Include information about yourself, how you will use the scholarship, and your appreciation for the opportunity to apply.


C. Write a letter complimenting a business or company for its outstanding services or products. Be specific about what you like, and give details on your positive experience with the company.


3. Make sure you use correct business letter formatting and proper grammar in your letters.


4. Print and turn in all three letters.
