Business Travel and Conference Planning
Assume that you are an administrative assistant in charge of business travel and meeting planning for a large firm. One of your supervisors is responsible for planning a meeting in Long Beach, California. The dates of the meeting are March 15 through 17. You will need a conference room/meeting hall that will comfortably seat approximately 575 people. You will also need approximately 500 sleeping rooms (hotel rooms). One of the meetings during the conference is a luncheon scheduled for March 16. You are responsible for planning the menu and gathering pricing information from the hotel or conference center for the cost per plate for the luncheon.
Your specific tasks are:
1. Plan travel arrangements for your supervisor from Bloomfield, Missouri, to Long Beach, California. The date of the airline ticket to fly to Long Beach should be March 14. The date of the airline ticket to return to Bloomfield should be March 18. You need to include round-trip ticket cost and departure and arrival dates and times. You will also need to provide the name of the airline and the flight numbers.
2. Does the airport or hotel provide shuttle transportation from the airport to the hotel? If so, you will need to list specific arrangements and costs for this service. If not, you will need to check into prices and procedures for renting a car at the airport. Also list how your supervisor will return to the airport when it is time for departure back to Bloomfield.
1. The next portion of this assignment deals with planning for the conference. You will need to conduct an Internet search to find possible places to host this conference in Long Beach, California. There will be approximately 575 people in attendance. You will need to provide the name and address of the place for which the conference is scheduled and the total cost.
2. The conference attendees will need approximately 500 sleeping rooms for March 14, 15, 16, and 17. You should conduct an Internet search to find possible sleeping/hotel rooms. Please provide the name and address of the possible choices, along with the cost and a brief description of the hotel and the services they offer. Try to come up with 2 to 3 choices for your conference guests (a high-rate, a middle rate, and a lower rate).
3. There will be a luncheon during the conference on March 16 at noon. All conference attendees are expected to attend. You need to gather information from the conference center regarding menu choices and cost per plate.
While the conference attendees are in Long Beach, they might be interested in doing some touring or sightseeing in Southern California. There is so much fun stuff to do there – particularly in the Los Angeles/Long Beach area! Describe 5 possible tours and/or sights that the attendees may wish to participate in during their trip to Southern California.
Design a bi-fold or tri-fold pamphlet that includes all the necessary information about this conference (i.e. dates, locations, lodging arrangements, sightseeing opportunities, etc.). Make this pamphlet as eye appealing as you possibly can. Keep in mind that your goal is for the reader to want to attend the conference after looking at your brochure. Include a registration section to be torn off and returned to your supervisor by the conference attendees no later than March 1. This will assist you in having accurate numbers in planning for this conference.
